As a Board, one of our members' most common questions is about the purpose of the Annual Deep Run Family Membership. We are often asked, “Where does the money go?” Deep Run is a Private Non-Profit youth organization in Hilltown Township. Our private club maintains and manages everything Deep Run. We have a very supportive township, but Hilltown is not responsible for maintaining our club as many local organizations are privileged to do so. 

Many of us got involved in leadership roles at Deep Run because we had the same questions our members had. The money from the Family Membership and $25 from each sports registration goes to the operations of our club, which provides financial support for all sports. The funds are used to maintain our facilities, but more importantly, to improve the grounds where our kids play. Below are some projects the Board voted on in the past that were paid for in part with funds raised through the Family Membership:

  • Partial gym costs for travel and intramural basketball 
  • Repair of the softball and baseball press boxes 
  • Aeration, seeding, and leveling of soccer fields 
  • Improvements and repairs to the pole barn 
  • Repaired and replacement of fencing and security netting around baseball, softball, and lacrosse fields
  • Parking lot repairs
  • Storm damage, water runoff repairs 

There are also annual costs the Family Membership pays for, including: 

  • Club Administration 
  • Insurance premiums 
  • Utilities and trash collection 
  • Restroom Service 
  • Equipment maintenance and repairs 
  • Lawn mowing: 3 Properties, Main complex, and two off-campus locations (Fairhill and Telegraph Rd) 
  • Annual seeding and weed treatment for all sports fields, including Fairhill and Telegraph Rd 
  • Tree trimming, treatment, and removal 

In addition to all the operational costs, we save money each month for capital improvements. Over the years, Deep Run installed a new camera system. French drains were installed throughout our soccer fields, we bought a Toro Sand Pro, built a new soccer pavilion in memory of John Cardicin, and bought new refrigeration for the snack stand to name a few. 

The Board has done its best to get quotes from multiple vendors and award projects and contracts to the most cost-efficient vendors. However, as we have all experienced since the Pandemic, inflation has raised costs everywhere. We have tried to avoid any increases, but our expenses are not immune to inflation. 

At this time, the Deep Run Family Membership is $125 annually. Looking through Club records, the Family Membership has been the same since it was instituted over 15+ years ago. We did not come by this decision lightly. This decision was made after years of discussion amongst the Board, examining all options, including eliminating the Family Membership. Reviewing the revenue numbers and registrations, eliminating the Family Membership, and raising the individual sport registration fees to cover the revenue would not be cost-effective for our families.

The annual family membership fee gains you access to all of our sports, for all members of your family and covers the calendar year.  Our sports by season are:

Spring - Softball, Lacrosse, Baseball and Soccer

Fall - Soccer, Baseball, Softball

Winter - Basketball
